If you need to email files to someone and the overall size of the files is too large saving them as a ZIP file may compress the size of the files enough to enable you to email them successfully.
- Select the files that you want to add to the ZIP file by using one of the methods shown below:
To select non-adjacent files – single click the first file, hold down the CTRL key and click any other file that you want to add to the ZIP.
To select adjacent files – single click the first file, hold down the SHIFT key and click the last file that you want to add to the ZIP.
- Right click the selected files and choose Send To, Compressed (zipped) folder
A zipped file will be created in the folder where the files were originally saved.
If you receive a compressed file you can extract all or just some of the documents.
To extract some of the files
Double click the zipped file to see the contents. Click the file(s) that you want to extract and click the Extract link at the top of the screen.
Select the folder that you want to extract the files to. If you can’t see the folder that you want in the list, click the down arrow at the bottom of the scroll bar.
You will now see all folders for the current location and also the option to choose a different location.
To extract all of the files
Highlight the file and click the Extract link at the top of the screen.
- Click Extract All.
A dialog box will be displayed showing the location that the files will be extracted to if you don’t specify a location.
If you want to choose a different destination, click the Browse button. When the new location has been specified, click Extract.
When the files have been extracted, the Zip file can be deleted if no longer needed.
